Information we collect from you as a customer

We collect information from various places including forms used during the registration process, any e-mails between us or any information you send us. We minimise the data we hold about you and will only keep it for up to 6 months after you cease to be a client, unless there is a legal obligation to retain something for longer (e.g. invoice details). We do this to allow you the opportunity to return to us as a client within a reasonable time and to allow you the ability to request a copy of your data immediately after our services to you finish. We only store general category information such as

We use this information in several ways, for example:

  1. For login and user identification purposes
  2. For fraud prevention
  3. To improve the confidentiality, availability, and integrity of the data we hold
  4. For statistical analysis

All our data is stored within the United States.

During the billing process your credit/debit card details are processed directly with Stripe, Inc. a payment processing gateway who have their own privacy policy (https://stripe.com/gb/privacy)

We do not store any payment card information ourselves.

Google OAuth

Formbox uses OAuth to allow users to sign in using their Google account as well as for other opt-in Google integrations. Formbox does not store any of your Google account information. Formbox only stores your email address, your name, and your profile image, which you have provided to Google. Formbox uses this information to create your Formbox account.

In order to send form submissions directly to your Google Sheet, Google will ask you to grant Formbox access to see, edit, create, and delete only the specific Google Drive files you use with Formbox.

Google Sheets

If you choose to connect your Google Account when using Formbox's Google Sheets integration, we request access to your spreadsheets to provide you with the option to choose the destination sheet for the synchronization of form submissions. Formbox's use and transfer of this information adheres to Google API Services User Data Policy, including the Limited Use requirements.

When using the Google Sheets integration Formbox will always create a new spreadsheet and only store the spreadsheet ID used for the integration. We do not actually fetch any of your spreadsheets from your account. You can choose which spreadsheet you want to use by manually updating the spreadsheet ID in the integration settings.

Information you share with us through our services

The flexibility of our service means you can send us potentially any form of data imaginable, we store that data to allow you review it and report on it but we will never use that data for any purposes other than those mentioned in our Terms of Service

How we use your personal data

All our data is stored within the United States, in general, we do not transfer personal data outside the US. The personal data that we hold is used in either your or our legitimate, this includes the order process, invoicing, support and general enquiries.

Cancellation and Termination

Formbox, in its sole discretion, has the right to suspend or terminate your account and refuse any and all current or future use of the Service, for any reason at any time. Such termination of the Service will result in the deactivation or deletion of your Account or your access to your Account, and the forfeiture and relinquishment of all Content in your Account. Formbox reserves the right to refuse service to anyone for any reason at any time.

Disclosure of your information

If we sell or buy any business or assets, those entities may gain access to your data We may disclose your data if we have a legal duty to disclose or share it in order to comply with any legal obligation, or in order to enforce or apply our Terms of Service and other agreements, or to protect the rights, property, or safety of Formbox, our customers or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

We do not share any of your data we receive from you or from services we use such as Goolge on behalf of you with any AI third party services.

Your right to be informed

You have the right to be informed about the collection and use of your personal data, this privacy policy informs you of our purposes for processing your personal data, our retention periods for that personal data, and who it will be shared with.

Your right of access

You have the right to access your personal data and supplementary information and can do so through our services or you can request a copy by emailing support@formbox.app

Your right to rectification

You have the right to have inaccurate personal data rectified, or completed if it is incomplete and any requests of this nature should be emailed to support@formbox.app

Your right to erasure

You have the right to have personal data erased, this right is not absolute and only applies in certain circumstances. Any requests should be emailed to support@formbox.app and we will respond within one month.

Your right to restrict processing

You have the right to request the restriction or suppression of your personal data, this is not an absolute right and only applies in certain circumstances. Any requests should be emailed to support@formbox.app and we will respond within one month.

Your right to data portability

You have the right to move, copy or transfer personal data easily from our services to another service in a safe and secure way, without hindrance to usability. Data portability requests should be emailed to support@formbox.app

Any objection to the processing of your data will require us to stop processing the personal data unless we can demonstrate compelling legitimate grounds for the processing, which override your interests, rights and freedoms or the processing is for the establishment, exercise or defence of legal claims and enforcement of our Terms of Service.
